Breaking the Cycle: Peak Performance with Systems and Accountability

Feb 12, 2025

As a Peak Performance Sales and Mindset Coach, I work closely with Manufacturers' Reps to help them lead with confidence, inspire high-performing teams, and create more free time in their lives. One of the most common challenges I see among agency owners is their tendency to wear too many hats—juggling daily operations while neglecting critical systems and processes that drive long-term success.

Two areas where this struggle is particularly evident are:

  1. Onboarding New or Newly Promoted Employees
  2. CRM Implementation and Adoption

Both are game-changers when executed correctly, but without a clear plan and accountability, they can quickly become missed opportunities. Let’s dive into why these areas matter and how to fix them.

Onboarding: The Foundation for a Strong Team

Too often, I see agency owners hiring new employees or promoting team members without a structured onboarding plan. Some create a plan with good intentions, but without accountability, it ends up collecting dust, leading to underperformance and frustration for both the new hire and the business owner.

What You Can Do Differently

🔹 Create a Clear, Documented Plan
Develop a structured onboarding process with training materials and documented procedures. This ensures a consistent experience—even if you’re unavailable. Also, involve other team members in the process so that the owner isn’t carrying the full load.

🔹 Consistent Check-Ins
Don’t assume things are going smoothly just because no one is complaining. Schedule regular check-ins—weekly for the first month, then bi-weekly—to address challenges and celebrate small wins.

🔹 Encourage Feedback
New hires and newly promoted managers have fresh eyes on your business. Encourage them to provide feedback on the onboarding process, so you can continuously improve it.

CRM Adoption: From Costly Investment to Business Growth Tool

Many agency owners invest in a CRM with high hopes of improving efficiency, only to see it become another underutilized tool. Resistance to CRM adoption often stems from poor integration into daily workflows and a lack of accountability.

How to Drive CRM Adoption

🔹 Appoint CRM Champions
Identify team members who embrace the system and can act as mentors. When peers see the benefits firsthand, they’re more likely to follow suit.

🔹 Align CRM with Daily Tasks
A CRM should simplify work, not add to it. Integrate it into existing workflows so it becomes a natural part of your team’s routine rather than something that feels like extra work.

🔹 Customized Training
A one-size-fits-all approach doesn’t work. Offer training tailored to your team’s needs, addressing specific concerns and highlighting how the CRM helps them save time and close more deals.

The Missing Link: Accountability

At the core of successful implementation—whether it’s onboarding or CRM adoption—is accountability. Having a great plan is one thing. Following through is another.

This is where coaching makes the difference.

Imagine having someone in your corner, keeping you on track, ensuring you execute your plans, and pushing you to exceed your own expectations. Accountability is the bridge between good intentions and real, measurable results.

If you’re ready to implement systems that drive success—and finally break free from the cycle of inconsistent execution—consider the power of coaching and accountability. Whether it’s with a coach, mentor, or business partner, having someone to hold you to your commitments can be the key to unlocking your next level of success.
